2.System Overview
MedVault is a inventory and distribution-tracking system developed specifically for Eladia Health Care Center at San Miguel, Bulacan, the system focuses on data management, patient information, and medicine inventory.
3. User Responsibilities Users of MedVault must:
• To ensure that the data entered on the system is accurate and updated regularly.
• Login credentials must stay confidential and report immediately any unauthorized access.
• Comply with security protocols to safeguard patient information and inventory data.
4. Access Restrictions
Only the authorized personnel at Eladia Health Care Center can access the system. The granted access is based on the user level, this is to ensure that only authorized personnel can manage the sensitive information.
5. Patient Data Management
The system enables the storage, retrieval, update, and secure disposal of patient records. Data is archived after two months of inactivity. Patient data management practices follow the "First Expiry, First Out" (FEFO) method for medicine distribution.
6. Inventory Management
MedVault tracks medicine stocks, including in-bound & out-bound medicines, expiration dates, and distribution records. Notifications for low stock levels and expired medications help maintain optimal inventory levels.
7. Limitations of Use MedVault
is intended solely for Eladia Health Care Center and does not extend to other health institutions or sectors. Currently, MedVault lacks a mobile application, making it accessible only via web browsers
8. Security and Privacy
MedVault employs a secure database system for data protection. Unauthorized access or misuse may result in disciplinary actions, and legal recourse may be pursued if necessary.
9. Data Accuracy
While MedVault aims to improve data accuracy, it relies on users to enter and update information correctly. The system is not liable for inaccuracies arising from incorrect data entry.
10. Updates and Maintenance
MedVault may be periodically updated to enhance functionality or address issues. Scheduled maintenance may result in temporary downtime, and users will be notified in advance.
11. Liability Disclaimer
The developers of MedVault, Bulacan Agricultural State College, and Eladia Health Care Center disclaim liability for data losses or system issues due to factors beyond control, including but not limited to system downtime, data breaches, and unauthorized access.
12. Amendments to Terms
These terms may be amended as required. Users will be notified of significant changes, and continued use implies acceptance of any modifications.
